Note: Users must not connect Google accounts to our email warmup service, as this is prohibited by the Google API Services User Data Policy. Violation may result in account suspension.

How do you exercise your rights? The easiest way to exercise your rights is by submitting a data subject access request, or by contacting us. We will consider and act upon any request in accordance with applicable data protection laws.

1. WHAT INFORMATION DO WE COLLECT?

Personal Information You Disclose to Us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • names

  • phone numbers

  • email addresses

  • job titles

  • passwords

  • contact preferences

  • billing addresses

  • debit/credit card numbers, payment card last four digits and expiration date (full card numbers are processed directly by third-party payment processor and are not stored by Artisan)

  • any information shared by chatting with your Artisan agent

  • any information in Slack channels your Artisan agent is connected to

  • any information in email accounts you connect

  • audio and video captured during chats with Artisan’s video avatar, along with a transcription of your spoken content generated during that session


Sensitive Information. We generally do not process sensitive information or special categories of data (as defined by GDPR Article 9 or CCPA). We may collect data necessary to process your payment if you make purchases, such as your payment instrument number, and the security code associated with your payment instrument, but all payment data is stored by a third-party payment processor. We do not retain our own copy of your payment information.


All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.


Information Collected Upon Your Visit

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected when you visit our Services.

We collect certain information when you visit, use, or navigate the Services, subject to your designated privacy choices and cookie consent. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies.

The information we collect includes:

  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information that our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports, and hardware settings).

  • Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.

  • Location Data. We collect location data such as information about your device's location, which can be either precise or imprecise. How much information we collect depends on the type and settings of the device you use to access the Services. For example, we may use GPS and other technologies to collect geolocation data that tells us your current location (based on your IP address). You can opt out of allowing us to collect this information either by refusing access to the information or by disabling your Location setting on your device.

We may share certain automatically collected data, including your IP address and cookies, with online data partners or vendors (see Artisan Subprocessor List at https://trust.artisan.co/) to associate these activities with other personal information they or others have about you, including by association with your email or online profiles. We may then send communications and marketing to these emails or profiles. This processing occurs under our instructions via data processing agreements and may rely on your consent (e.g., via cookie settings) or another legal basis. See Section 5 below for details on cookies and opt-out options. You may also opt out of our marketing emails at any time.


Through our interactive AI video onboarding feature, we temporarily collect the audio and video of your session for the purpose of transcribing your spoken responses. The audio recording is retained for a period sufficient to verify transcription accuracy and is then deleted. We do not generate voiceprints designed to uniquely identify you. The transcript of your session may be retained as part of your account record to facilitate onboarding and service delivery.


Information Collected from Other Sources

In Short: We may collect limited data from public databases, marketing partners, social media platforms, and other outside sources.

In order to enhance our ability to provide relevant marketing, offers, and services to you and update our records, we may obtain information about you from other sources, such as public databases, joint marketing partners, affiliate programs, data providers, social media platforms, and from other third parties. This information includes mailing addresses, job titles, email addresses, phone numbers, intent data (or user behavior data), Internet Protocol (IP) addresses, social media profiles, social media URLs, and custom profiles, for purposes of targeted advertising and event promotion.


Information Processed on Behalf of Customers (Outbound Communications Data)

When customers use the Services to initiate outbound communications, Artisan processes contact data relating to the customers' intended recipients ("Outbound Communications Data"). This data typically includes business contact information such as name, professional email address, phone number, job title, and company affiliation, and may be sourced from the customer directly or from third-party data enrichment providers made available through the Services.

Artisan processes Outbound Communications Data as a data processor acting on customer instructions. The customer is the data controller responsible for ensuring a valid legal basis exists for processing each recipient's data. Artisan does not independently verify the consent status or contact preferences of outbound communication recipients. For information about how Artisan processes data as a processor on behalf of its customers, please refer to the Artisan Data Processing Agreement available at https://www.artisan.co/dpa.

If you are an individual who has received a communication through the Artisan platform and wish to exercise your data subject rights, please see Section 18 (Notice to Third-Party Contact Data Subjects) below.


2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.

  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.

  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.

  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.

  • To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.

  • To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time. For more information, see "WHAT ARE YOUR PRIVACY RIGHTS?" below.

  • To deliver targeted advertising to you. We may process your information to develop and display personalized content and advertising tailored to your interests, location, and more.

  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.

  • To determine the effectiveness of our marketing and promotional campaigns. We may process your information to better understand how to provide marketing and promotional campaigns that are most relevant to you.

  • To facilitate AI-assisted video onboarding.  As part of our AI video onboarding feature, we may collect temporary audio and video recording of your session.  The audio and video are used to generate a transcript for the session and kept for a limited time.  The transcript is retained to support your onboarding and account setup.

  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.

  • To improve our AI models and services. We may process certain disclosed or automatically-collected personal information (such as usage patterns, interaction data, and feedback from your use of our Services) to train, fine-tune, and evaluate our language models and AI systems. This helps enhance model accuracy, safety, and performance for all users. Personal data will (i) only be used for this purpose after it has been de-identified and aggregated such that it can no longer reasonably be attributed to an identified or identifiable individual, or (ii) where de-identification is not possible — only with your prior express consent and solely for the AI model used specifically in connection with your account. For more information, please refer to Section 2 of our Terms of Service.


In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.


If you are located in the EU or UK, this section applies to you.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

  • Consent (GDPR Article 6(1)(a)). We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time.

  • Performance of a Contract (GDPR Article 6(1)(b)). We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.

  • Legitimate Interests (GDPR Article 6(1)(f)). We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:

  • Send users information about special offers and discounts on our products and services

  • Develop and display personalized and relevant advertising content for our users

  • Analyze how our Services are used so we can improve them to engage and retain users

  • Support our marketing activities

  • Diagnose problems and/or prevent fraudulent activities

  • Understand how our users use our products and services so we can improve user experience

  • Legal Obligations (GDPR Article 6(1)(c)). We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.

  • Vital Interests (GDPR Article 6(1)(d)). We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.


In legal terms, we are generally the "data controller" under European data protection laws of the personal information that we collect and are described in this privacy notice, since we determine the means and/or purposes of the data processing we perform. 

This privacy notice does not apply to the personal information we process as a "data processor" on behalf of our customers. In those situations, the customer that we provide services to and with whom we have entered into a data processing agreement is the "data controller" responsible for your personal information, and we merely process your information on their behalf in accordance with their instructions. If you want to know more about our customers' privacy practices, you should read their privacy policies and direct any questions you have to them.


If you are located in Canada, this section applies to you.

We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We may share information in specific situations described in this section and/or with the following categories of third parties.

Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your personal information. The categories of third parties we may share personal information with are as follows:

We also may need to share your personal information in the following situations:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

  • Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this privacy notice. Affiliates include our parent company and any subsidiaries, joint venture partners, or other companies that we control or that are under common control with us.

  • Business Partners. We may share your information with our business partners to offer you certain products, services, or promotions.


5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: Yes, we may use cookies and similar tracking technologies to collect and store your information, enhance your experience, and serve targeted advertising.

We may use cookies and other tracking technologies (such as web beacons, pixels, and scripts) to recognize you when you visit our website, analyze traffic, personalize content, and deliver targeted advertisements. These technologies help us understand how you interact with our Services and improve functionality. Non-essential cookies will not be placed until you have given your consent via our cookie banner, and you may choose which categories of cookies you consent to (e.g., analytics, performance, targeting). You may opt out of non-essential cookies at any time; rejecting non-essential cookies will not block access to the core Services.

We use the following types of cookies:

  • Essential Cookies — These cookies are necessary for the website to function and cannot be disabled.

  • Statistics Cookies — These cookies help us track website traffic, understand user behavior, and improve our services.

  • Preference Cookies — These allow us to remember your preferences (such as language settings) to enhance your experience.

We use targeting cookies to deliver personalized ads and to share your browsing activity with advertising partners, which may constitute a 'sale' or 'sharing' of your personal information under applicable state privacy laws. To opt out of the sale or sharing of your personal information, you can disable targeting cookies in our Cookie Settings or click 'Reject' on our cookie banner, or click the “Do Not Sell or Share My Data” link in the footer of the Artisan webpage.

The duration of a cookie depends on whether it is a persistent cookie or a session cookie. A persistent cookie lasts beyond the current session. A session cookie lasts only as long as the session (usually the current visit to a website or a browser session). You may disable either or both types of cookies.

We and our third-party partners (see Artisan Subprocessor List at https://trust.artisan.co/) may use cookies to:

  • Show you personalized ads based on your interests and browsing activity.

  • Measure ad effectiveness and improve ad targeting.

  • Track your engagement with our marketing emails and website content.

  • Customize your experience on our website and Services.

  • Learn about how well our Services and website perform with different applications and browsers.

Manage or Opt Out of Cookies

You can manage your cookie preferences in the following ways:

  • Through Your Browser — Most browsers allow you to block cookies via settings. Further, most browsers also enable you to review and erase cookies, including Artisan cookies.

Global Privacy Control

We value your privacy and provide you with choices regarding how your personal information is used. Our website processes "opt-out preference signals," such as the Global Privacy Control (GPC), as a valid request to stop the sale or sharing of your personal information for purposes of cross-context behavioral advertising or targeted advertising.

If you visit our website using a browser or browser extension with the GPC signal enabled, we will automatically honor that signal for that specific browser and device. This means we will not sell or share the personal information collected from your activity on that browser or device.

6. HOW DO WE HANDLE YOUR SOCIAL LOGINS?

In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.

Our Services offer you the ability to register and log in using your third-party social media account details. Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, friends list, and profile picture, as well as other information you choose to make public on such a social media platform.

We will use the information we receive only for the purposes that are described in this privacy notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.


7. HOW DO WE HANDLE YOUR GOOGLE ACCOUNT DATA?

In Short: We access your Gmail and Google Calendar only to run your sales campaign – we never sell your data, advertise with it, or use it to train other AI models.


Google User Data
Artisan's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data We Access
When you connect your Google account to Artisan, we request the following access depending on the features you use:

Account Information (userinfo.email and userinfo.profile).  Your email address and basic profile information (such as your name) to authenticate your identity and associate your Google account with your Artisan workspace.

Email — Send (gmail.send). To send outbound sales emails on your behalf through your connected mailbox, enabling Artisan's AI sales agent, Ava, to conduct outreach campaigns from your address.

Email — Read and Organize. (gmail.modify). To detect and thread incoming replies to your campaigns, apply organizational labels (such as marking a thread as replied), and mark processed messages as read. Artisan does not delete, archive, trash, or modify the content of any message in your mailbox.

Email — Settings (gmail.settings.basic). To read and configure your send-as identity and email signature, so that outbound campaigns are sent with the correct sender identity.

Calendar — Events and Availability. (calendar.freebusy ,calendar.events).  To check availability and create, read, and update calendar events when prospects book meetings.

Email Deliverability Metrics. (postmaster.readonly). To monitor email deliverability, spam rates, and sender reputation for your sending domains. This helps Artisan optimize outreach and protect your domain reputation.

How We Use Your Google Data
We use Google user data solely to provide and improve the features described above within the Artisan platform. Specifically, we use your data to:

  • Send and manage outbound sales emails through your connected mailbox

  • Detect, thread, and surface email replies and engagement within the Artisan platform

  • Schedule meetings based on your calendar availability

  • Monitor and report on email deliverability and sender reputation

  • Authenticate and maintain your connection to Google services


Artisan's AI models are not trained on Google user data. Customer Google data is used only at inference time to generate outputs for that specific customer's workspace, and is not used to train, fine-tune, or improve models used by any other customer.

Limited Use Disclosure
Artisan's use of Google user data is limited to providing or improving the user-facing features described in this policy. We do not use Google user data for:

  • Serving advertisements, including retargeting, personalized, or interest-based advertising

  • Selling or transferring data to third parties, including advertising platforms, data brokers, or information resellers

  • Determining creditworthiness or for lending purposes

  • Training generalized or general-purpose AI or machine learning models


Human access to Google user data is limited to what is necessary to operate and maintain the service, investigate security issues, or comply with applicable law, and only with user consent where required.  We share Google user data only with sub-processors who process data on our behalf solely to deliver the Artisan platform, in a manner pursuant to this policy and the Google API Services User Data Policy.  Google user data is encrypted in transit and at rest.

8. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?

In Short: We may transfer, store, and process your information in countries other than your own.

Our servers are located in the United States. If you are accessing our Services from outside the United States, please be aware that your information may be transferred to, stored, and processed by us in our facilities and by those third parties with whom we may share your personal information, in the United States, and other countries.

If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this privacy notice and applicable law.

Where your personal information originates in the European Economic Area (EEA), United Kingdom (UK), or Switzerland and is transferred to a country that has not been recognized as providing an adequate level of data protection, such as the United States, we implement appropriate safeguards to protect your personal information. These include entering into the European Commission's Standard Contractual Clauses (SCCs) and, where applicable, the UK Addendum or UK International Data Transfer Agreement, with the relevant data importers, as well as implementing additional technical and organizational measures where necessary. You may contact us using the details in this notice if you would like more information about our international transfer mechanisms.


9. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us. As a general matter, we retain personal information for as long as you maintain an account with us, and for a reasonable period thereafter as necessary to comply with legal obligations, resolve disputes, enforce agreements, and protect against fraud. Specific retention periods may apply to certain categories of data as set out in our Data Processing Agreement (https://www.artisan.co/dpa).

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.


10. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

Artisan maintains a SOC 2 Type II certification covering the Security Trust Services Criteria. Enterprise customers may request a copy of the current report (or executive summary) under NDA by contacting privacy@artisan.co or at Artisan’s Trust Center (https://trust.artisan.co/). To the extent Artisan has not yet obtained a SOC 2 Type II certification for a particular gap period, Artisan may provide a bridge letter or gap assessment in lieu thereof.


11. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at privacy@artisan.co.


12. WHAT ARE YOUR PRIVACY RIGHTS?

We will respond to verifiable requests within 30 days of receipt. Where we require additional time (up to a maximum of three months for complex requests under GDPR), we will inform you of the extension within the initial 30-day period together with the reasons for the delay.


If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.


Opting Out of Marketing and Promotional Communications

You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.


Account Information

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. 13. CONTROLS FOR DO-NOT-TRACK FEATURES

We do not respond to Do-Not-Track ("DNT") browser signals, as no uniform technology standard for recognizing and implementing DNT has been finalized. We do, however, honor the Global Privacy Control (GPC) signal as it automatically communicates your choice not to be tracked online.  GPC signals are further described in Section 5 above.

CCPA Privacy Notice

18. NOTICE TO THIRD-PARTY CONTACT DATA SUBJECTS (GDPR ARTICLE 14)

This section applies to residents of the UK, EEA, or Switzerland who have received communications through the Artisan platform but are not direct users of the Artisan Services.

Who Is This Section For?

Artisan provides AI-powered outbound sales automation tools to its business customers ("Customers"). As part of providing these Services, Artisan may process your contact information (such as your name, professional email address, and phone number) on behalf of a Customer who has chosen to contact you through the platform. In this context, Artisan is a data processor, and the Customer is the data controller responsible for the decision to contact you.

What Data Is Processed

Artisan may process the following categories of personal data relating to you in connection with outbound communications: name, professional email address, business phone number, job title, employer name, and related professional contact information. This data may have been provided to the Customer directly or sourced from third-party data providers.

The Customer, as data controller, is responsible for identifying a lawful legal basis under applicable law for processing your personal data and for contacting you. Common bases relied upon for B2B outbound communications include legitimate interests and, where required, prior consent. Artisan does not independently assess the legal basis relied upon by each Customer.

Your Rights

If you have received a communication through the Artisan platform and wish to exercise your rights (including the right to access, erasure, restriction, or objection), you should contact the business that sent you the communication directly, as they are the data controller. If you are unable to identify or contact that business, you may contact Artisan at privacy@artisan.co and we will assist you to the extent required by applicable law.

To opt out of future communications sent through the Artisan platform by a specific Customer, please use the unsubscribe link in any email you have received, or contact the sending business directly. Artisan will honor technical suppression requests upon written instruction from the Customer.
